Projects in teamspace

teamspace offers many options to structure your projects, plan tasks and assign them to colleagues. Several functions also help you monitor project success.

Create a project in teamspace

A project plan in teamspace is built on three pillars:

  • The timeline (when does the project begin, when must it be finished?)
  • The time budget (how much working time is required to deliver the project?)
  • The assigned team (who does the work to complete the project?)

As an example, we walk through creating a project for Ms. Ignis Lumen at “Licht? Ja! AG”. It comprises 16 hours of consulting and a one-day training.

1. Creating a project

You can create a project in several ways. For example, select Projects in the main menu. Click the ”+” symbol to create a new project.

You can now make some essential settings. First, pick the appropriate project type, e.g. rollout project. Then enter a name and select the customer contact. The customer field automatically syncs with the selected contact.

In the lower section of the dialog you set the duration of the overall project and its status. Set the status to In progress. When you click Save and open, the overview of your new project appears.

2. Structuring a project

Once the project is created, you can structure it. Initially you see only a single level: the main project, represented by a blue folder. Since most projects consist of several sub-tasks, teamspace lets you organise them into sub-projects and work packages.

  • Sub-projects serve as an additional structural level in which work packages can be grouped.
  • Work packages represent the actual tasks within a project.

In our example we create two work packages — one for the consulting and one for the training. Use the ”+” button and select New work package.

In the dialog, enter the name of the work package. In the planned time field, enter the time budget for the task — in our case 16h for 16 hours — then click Save. Repeat the process for the one-day training.

3. Assigning team members to the project

Beyond schedule and budget, the team also has to be assigned. In the Project role column you can assign colleagues to tasks as executor or responsible. When edit mode is active in the project structure (visible by the blue corners on the cells), one click on the relevant cell adds a colleague as executor on the work package.

With timeline, time budget and team in place, the work can begin.
