teamspace

SME business software: one house, one view for leadership.

teamspace runs projects, time, invoicing, CRM, service and HR in one system. On top of it you see utilisation, margin and forecast daily, instead of piecing them together from three spreadsheets.

On the left, five separate standalone tools (CRM, Excel utilisation, time tool, project tool, accounting) with broken connectors, the grown tool sprawl. Through orange connectors they flow into a shared data core. On the right, a single teamspace leadership steering card with utilisation, contribution margin per engagement and forecast.

Daily life without an overall view

Four tools, three truths, no overall view.

  • Utilisation sits in Excel, the margin appears three weeks after month-end.
  • Sales, project management and accounting work with different numbers.
  • Every hour travels by CSV from time logging into the invoice.
  • Anyone who wants to know the state of the business waits until someone merges three spreadsheets.

Not a single feature is missing. What is missing is the one view across the whole house.

What makes teamspace business software stand out

Three properties separate teamspace from a grown tool mix and from classic ERP.

One system instead of ten tools

Projects, time logging, invoicing, CRM, service desk, teamwork, HR and workplaces in one application. One login, one permission model, one shared data foundation. No integrations to maintain, no duplicate master data.

Grows with you from five people upwards

You start with the modules you need today and activate more later without migration. Data model and configuration grow with you, from a five-person team to a 250-person group across multiple sites.

Definition

What SME business software is

An SME business software bundles the operational business processes of a professional services firm into one application: sales and CRM, projects and steering, time and people, invoicing and dunning, service and customer communication.

A classic ERP comes from manufacturing and targets materials, production and inventory. Software for service firms revolves around what is really steered in the mid-market: project, hour, invoice, utilisation and margin.

  • One shared foundation: projects, time and billing interlock, without a CSV bridge between four tools.
  • Role-appropriate views: leadership sees different numbers than project management or staff.
  • One billing logic for everything: day rate, fixed price, flat fee and maintenance in one document workflow.

In operation

From lead to follow-on order, in one system.

Six steps across every module, with no Excel bridge and no tool gap.

  1. 1

    Lead and quote in CRM

Enquiries from website, email or referral land in CRM. Pipeline with stages, weighted forecast from the sales funnel, quotes with hourly rates, flat fees and options from master data.

  2. 2

Create a project in one click

When a deal is won, the quote turns into a project with budget, phases, team and rates in one click. No data transfer, no double entry, the handover from sales to delivery is seamless.

  3. 3

    Capture time and effort

Staff log time at the desktop, on mobile or at a terminal. Travel expenses, flat rates and material cost land directly on the project. Hour balances, leave and sickness run on the same system.

  4. 4

    Steer and control the project

Plan-vs-actual, earned value analysis, rolling forecast and utilisation per person, practice or location. Leadership sees aggregated views, project management the detail. Daily-fresh, with no CSV export.

  5. 5

    Create invoices automatically

Tracked hours, flat rates and travel expenses become a draft invoice. Send as ZUGFeRD or XRechnung to public-sector buyers, automated dunning, handover to DATEV Unternehmen online.

  6. 6

    Service and follow-on order

Tickets and maintenance requests run in the service desk, charged against an hour pool or billed separately. The customer stays active in CRM: recurring contracts with renewal and termination, follow-ups and the ABC view across the base.

Reporting

The numbers leadership sees daily

teamspace comes with a unified reporting tool. Six report groups from the same data set cover projects, finance, staff, CRM, service and further analyses, each filterable and with drill-down to the individual booking.

This is how the overview comes about, without anyone first merging three workbooks.

  • Utilisation per person, practice, location and engagement.
  • Contribution margin per project and engagement, from hours, rates and cost.
  • Forecast from the sales funnel, weighted by probability per sales opportunity.
  • Open items and order book as a basis for capacity and hiring decisions.

Growing with you

Start small, grow with it, without migration

Nobody rolls out everything at once. You start with the modules that press today and expand later. A switch from light through office to enterprise is configuration, not data migration: data and permissions grow with you.

The initial switch from your existing systems is handled on request by the 5 POINT AG customer success team at a fixed price, with a clear budget and a clear endpoint.

  • Edition switch light to office to enterprise, without resetting data or configuration.
  • Additional modules activated later, instead of setting the system up anew.
  • Multiple engagements in one instance, with aggregated reports at group level.
  • Fixed-price migration from Salesforce, Jira, Toggl, Lexware or Excel.

Integration

What stays is connected

teamspace is an integrated application, but it does not replace every tool in the house. Accounting, payroll, calendar and office suite usually stay with the established vendor. Connection happens over the routes that matter in the mid-market.

  • DATEV through the certified interface to DATEV Unternehmen online, plus export for invoice and posting data.
  • Lexware and Sage through standard exports.
  • Microsoft 365 for email and single sign-on through Microsoft Entra, optionally the Microsoft Teams integration for meetings and calls.
  • REST API and webhooks for custom integrations.

Made in Germany

Data in Germany, operated in Frankfurt

A business software holds the most sensitive data of a mid-market firm: customer contacts, terms, fees, project margins, employee records. teamspace operates this in two geo-redundant data centres in Frankfurt am Main, with processing exclusively within the EU.

The data centre is ISO-27001-certified. The contracting party is 5 POINT AG, a German stock corporation headquartered in Darmstadt.

  • Hosting in Frankfurt am Main, processing exclusively within the EU.
  • GDPR compliant with a data processing agreement, GoBD mode activatable on request.
  • Need-to-know permissions as standard, two-factor login optional.
  • Encrypted transmission via TLS, storage volumes in the data centre encrypted with AES-256.

Case Study

A typical migration scenario from practice

Hypothetical practice example for illustration. Concrete values depend on starting point, industry and execution and are not guaranteed. A strategy consultancy with 80 employees and three locations in Germany and Austria, which worked with Salesforce, Jira, Toggl, Lexware and a self-maintained Excel capacity plan.

Starting point

The tool landscape had grown over years. Integrations were maintained manually, hours reconciled across Toggl, Jira and Lexware. Utilisation reporting was produced in Excel with two days of lag, the forecast sat in a separate CFO workbook. Sales, project management and accounting worked with different numbers.

Solution

With teamspace, CRM, projects, time logging, invoicing and capacity planning came together in one system. Migration from Salesforce and Jira was handled at a fixed price by the 5 POINT AG customer success team. Reporting became daily-fresh, the CFO received a rolling forecast from pipeline and utilisation, integration maintenance disappeared.

Why teamspace

Three reasons why the steering holds here

Since 1999, self-financed

  • We have developed teamspace for over 25 years in Darmstadt, without outside capital.
  • Software that keeps its customers, because it promises nothing it cannot keep.

Operated in Frankfurt

  • Two geo-redundant, ISO-27001-certified data centres, processing exclusively within the EU.
  • Daily backups, encrypted data storage at data-centre level.

20,000 users in the mid-market

  • Around 400 companies in the DACH region work with teamspace, from a five-person team to a 250-person group.
  • A personal point of contact from the customer success team in Darmstadt.

“Staff in both support and project planning can see orders and invoices. That was not possible before.”

What matters

SME business software that really fits

Anyone looking today for SME business software is looking for more than a list of tools. What is sought is an application that is genuinely integrated, grows with you instead of blocking you, is operated in Germany and supplies leadership with daily numbers, without anyone maintaining three workbooks.

teamspace is built for that: not as a tool federation with integrations, but as one system for service firms that see sales, delivery and billing as one process.

Frequently asked questions about SME business software

What is SME business software and how does it differ from an ERP?
SME business software bundles the operational business processes of a service firm into one application: sales and CRM, projects and steering, time logging and people, invoicing and dunning, service desk and customer communication. Classic ERP systems come from manufacturing and place the focus on materials management, production and inventory. For service firms with project-based value creation they do not fit the data model. teamspace is built exactly for this gap, with the focus on project, hour and invoice.
From what company size is teamspace worthwhile?
Sensible from five employees, particularly valuable between 20 and 250 people, scalable also for several hundred consultants per engagement. Growing service firms benefit because they do not have to change their system every three years. The system grows with you, individual modules are activated later as needed, without migrating existing data.
Do we have to roll out every module at once?
No. You start with the modules you need today. Typical sequences are time logging, then projects, invoicing and CRM for consultancies and IT service providers, or projects, time logging, invoicing and service desk for agencies. Adding modules later is not a data migration but a configuration. Data and permissions grow with you.
What does reporting for leadership look like?
A unified reporting tool delivers utilisation, margin, forecast, pipeline value, open invoices and order book per practice and location, daily-fresh and with no CSV export. Drill-down to engagement level is possible, each with permission control. Leadership sees aggregated views across the group, practice leads see their practice, employees see their own data.
How does the permission model work across multiple sites or subsidiaries?
teamspace maps group, subsidiary and engagement levels, with separate views and permissions per level. Need-to-know is the default: leadership aggregated across the group, location and practice leads their area, employees their own data. Two-factor authentication is optional.
How does teamspace integrate with DATEV, Lexware and Sage?
For accounting there is a DATEV-certified interface to DATEV Unternehmen online as well as an export for invoice, customer and posting data. Lexware and Sage are connected through standard exports. Incoming invoices can be captured digitally and handed over to financial accounting through DATEV.
Where is our business data stored?
All data is processed in two geo-redundant data centres in Frankfurt am Main, exclusively within the European Union. The data centre is ISO-27001-certified. teamspace is GDPR compliant with an activatable GoBD mode, the contracting party is 5 POINT AG, a German stock corporation headquartered in Darmstadt.
What does business software like teamspace cost in the mid-market?
The quoted prices are annual prices per activated user per month. Half-yearly (plus 10 per cent), quarterly (plus 15 per cent) or monthly (plus 20 per cent) terms can also be booked. No setup fee. Notice period: 3 months on an annual term, 1 month on a monthly term. The right edition (light, office or enterprise) depends on your module needs and is discussed on the pricing page and in the 15-minute first call.
Can we trial teamspace first?
Instead of an unguided 30-day trial, we offer a 15 to 30-minute call with the customer success team. There we evaluate together whether teamspace fits your processes, your size and your integrations, and you see the relevant modules live.
